Manage documents
The three views of the Documents tab
The main documents management operations are the following:
- Annotations.
- Find concepts in documents.
- Upload and download documents.
- Edit libraries.
- Browse, select and filter documents.
Most of them are performed in the Documents tab that has three alternative views:
- List view
- Detail view
- Context view
The list view shows the list of all documents.
The detail view shows a simplified list on the left and the detail of a specific document in the center.
The context view shows the sentences in which all annotations and extractions occur and is used to manage annotations.
To switch between views:

To switch from the list view to the detail view:
- Double click a document in the list.
Or:
- Select the file name of a document in the list.
Or:
- Select a document in the list and select View document
at the top left of the documents list.

To switch from the detail view to the list view, select Browse documents
from the left panel.

To switch to the context view, when in list view only:
- Select Show context view
.
- Check an annotation from the Annotations list or an extraction from the Extractions list.
Or:
- Select an annotation from the Annotations list or an extraction from the Extractions list and select Context view
.
Or:
- Hover over an annotation from the Annotations list or an extraction from the Extractions list and select Context view
.
- Select Show context view

To switch from the context view to the list view, select Show documents view
.
Sort the documents list
To sort any list of documents, for example by relevance or by file name, in ascending or descending order, choose the corresponding option from the drop-down menu on top of the documents list.
Most relevant terms
When in list view, you can enable and disable the MOST RELEVANT TERMS bar.
- Select Disable most relevant terms suggestion
to disable the bar.
- Select Enable most relevant terms suggestion
to enable it.
Delete document
- To delete a document when in list view:
- Select a document.
- Select Delete document
.
- To delete a document when in detail view:
- Select the ellipsis
, then select Delete document.
- Select the ellipsis
Copy a document text to the clipboard
To copy the document text to the clipboard, in Documents tab, detail view, select the ellipsis above the document, then select Copy to clipboard.
Show original spacing
Spacing may vary after a document has been converted.
In detail view, to display the original version, select the ellipsis above the document, then select Show original text spacing.
In detail view, to go back to the converted document spacing, select the ellipsis above the document, then select Show justified text spacing.
Change language
To change the documents language, in case of multi-language projects:
- Select a document (multiple selection with
Ctrl-click
is allowed). - Select Change language
and choose the language from the drop-down menu.

- Select the Change language icon
.
Or:
- Change language in the settings.
Export facets
If you need to select specific library properties and export them in JSON format in order to analyze their structure, you can use the Export facets feature in the list view:
- Select Export
in the left panel.
- Enter the optional filename or confirm the suggested one.
- Enter the Number of items to be exported. Items are sorted by descending frequency. The maximum number of items to export is 25000.
- Check the resources boxes you need in the Resources, Entities and Tokens sub-tabs, then select Export.
- Select Download in the Download tab to download the JSON file.

The exported items are dependent on any filtering set.
