Common views

Many operations and procedures in project and corpus management are performed in the Documents tab.

The tab has the following main views:

As required, it is possible to switch from one view to another and in some cases activate specific views in detail view, as described hereunder, like:

  • Condensed document view
  • Immersive view
  • Pdf document view
  • Context view

The list view

The list view displays the document preview list and, depending on the project, on the left side a panel as follows:

  • In Corpora: Entities and Tokens.

  • In Categorization projects: Taxonomy, Entities and Tokens.

  • In Extraction projects: Classes, Entities and Tokens.

  • In Thesaurus projects: Thesaurus, Entities and Tokens.

The list view is default view when you select the Documents tab.

Select Browse documents to access the list view if the focus is on other views or sub-tabs.

Switch to the detail view

To switch to the detail view, where you can focus on a single document:

  • Double-click a document in the list.

Or:

  • Select a document file name in the list.

Or:

  • Select a document in the list and select View document view.

Sort the document list

To sort the document list by relevance or by file name, in ascending or descending order, choose the corresponding option from the drop-down menu on top of the document list.

Display or hide the most relevant terms

  • Select Disable most relevant terms suggestion to disable the MOST RELEVANT TERMS bar.
  • Select Enable most relevant terms suggestion to enable the MOST RELEVANT TERMS bar.

Entities

The Entities tab, placed on the left panel, lists all the entities identified during the analysis of the document, grouped by type.

  • To expand or collapse the sub-list of each type, select respectively Open and Go Back .
  • To filter the list, use Filter list bar.
  • To change the sort order, select the desired option from the drop-down menu at the top right.
  • Double-click an item to insert it in the search bar as search criteria.

Tokens

The Tokens tab, placed on the left panel, lists all the tokens identified during the analysis of the document, grouped by type.

The Tokens management is the same as the Entities.

Export entities and tokens

To export your project entit—or token—lists in JSON format:

  1. Select Export in the left panel.
  2. In the dialog, Export tab, type a name or confirm the suggested one.
  3. Select the number of items to be exported (1000 by default).
  4. Check the entities and tokens boxes you need in the Entities and Tokens sub-tabs and select Export.
  5. In the Download tab or in the notification in the lower right corner, select Download.

Taxonomy (in Categorization projects only)

The Taxonomy tab, placed on the left panel, lists the categories and the annotations related to the taxonomy.

You can use this tab as a tool to filter documents by category or annotation.

Double-click an item to insert it in the search bar as search criteria.

Classes (in Extraction projects only)

The Classes tab, placed on the left panel, lists the classes of information.

To show annotations and extractions related to a class, select

Double-click an item to insert it in the search bar as search criteria.

Show a class in Resources tab

To show a class in the Resources tab, hover over the class of interest and select Show in resources .

Show class information

To show a class information, hover over the class of interest and select Show info .

Thesaurus (in Thesaurus projects only)

The Thesaurus tab, placed in left panel, lists the concepts divided in Extractions and Annotations.

Switch from list view to Context view (in Extraction and Thesaurus projects only)

To switch to the Context view:

  • Select Show context view from the toolbar at the top of the document list.

Or:

  1. Select

    • The Classes tab, if in an Extraction project.

    Or:

    • The Thesaurus tab, if in a Thesaurus project.
  2. Hover over:

    • The class of interest, if in an Extraction project.

    Or:

    • The concept of interest, if in a Thesaurus project.
  3. Select Context view .

Context view (in Extraction and Thesaurus projects only)

The Context view displays a list of textual contexts, each one focused on an annotation or on extraction.

Note

The context view is activated only if there are annotations and in strict match strategy (in Extraction projects).

In Context view it is possible to annotate. See Annotate in Context view for Extraction projects or Annotate in Context view for Thesaurus projects.

Populate the list

To populate the list:

  1. Select:

    • The Classes tab in the left panel if in an extraction project.

    Or:

    • The Thesaurus tab in the left panel if in a thesaurus project.
  2. Expand the class of interest if in extraction project.

  3. Select the checkbox at the left of the values of interest.

Note

You can select either single class values or a whole class.

Unpopulate the list

To unpopulate the list:

  • Deselect the classes or the concepts check-boxes, depending if in extraction or thesaurus projects.

Or:

  • Deselect the classes or the concepts check-boxes, depending if in extraction or thesaurus projects, from the Context drop-down menu.

Switch from context view to list view

To switch to the list view, select Show documents view .

Switch from context view to detail view

To switch to the detail view:

  • Select View document .

Or:

  • Select the document name in the central panel.

Open a document from context view

Opening a document from the the context view causes the switch to the detail view.

To open a document:

  • Select the file name of a document in the list.

Or:

  • Select at least one context in the document box in the list and then select View document view at the top left of the document list.

Other operations

  • Select Show all documents to show all documents.
  • Use the drop-down menus to sort the documents by language and relevance.

The detail view

The detail view shows a simplified document list on the left, the detail of a specific document in the main area and, depending on the project, a panel on the right side as follows:

  • In Corpora: Entities and Tokens.

  • In Categorization projects: Taxonomy, Entities and Tokens.

  • In Extraction projects: Classes, Entities and Tokens.

  • In Thesaurus projects: Thesaurus, Entities and Tokens.

In this view, it is also possible to switch to the:

Select View document to access the detail view if the focus is on other views or sub-tabs.

Switch to the list view

To switch to the list view, select Browse documents browse.

Entities

The basic Entities management is the same as in the list view (described above), just the panel is placed on the right side.

  • To highlight all occurrences of the entity types in the text, select the entities type, in the Entities tab.
  • To remove the highlights:

    • Deselect the entity types.

    Or:

    • Select that shows also the selection count.

Tokens

The Tokens management is the same as in the list view (described above), just the panel is placed on the right side.

The logic to highlight all the occurrences of token types in the text is the same as the entities.

Taxonomy (in Categorization projects)

The Taxonomy tab shows the categories and the annotation count for each category.

You can use this tab as a tool to annotate.

Classes (in Extraction projects only)

The Classes tab shows the classes and the related annotations and extractions.

You can use this tab as a tool to annotate.

Thesaurus (in Thesaurus projects only)

The Thesaurus tab shows the concepts and the related annotations and extractions.

You can use this tab as a tool to annotate.

Main topics

To check the document main topics, watch the Main topics bar.

Open a different document

To open a different document:

  • Double-click the document box.

Or:

  • Select the file name in the document box in the list on the right.

Browse documents

To browse the documents, select Next document next or Previous document prev.

If a document is related to others, select Related documents related to display them in the Related Documents panel.

Select show more to have a preview of a selected document or show less to reduce the view.

To open a document in the list of the Related Documents panel, double-click it.

To change the sort order in the Related Documents panel, select the preferred option from the drop-down menu at the top right.

To show again the original tabs in the right pane, select Value value.

Sort the document list

To sort the list of documents by relevance or by file name, in ascending or descending order, choose the corresponding option from the drop-down menu on top of the document list on the left panel.

Document details

To show document details such as file size, upload date, upload author and main sentences, select Show more at the top of the document panel.

To hide document details, select Hide details .

Find text

To find and highlight all occurrences of a string in the text of the document:

  • Enter at least three characters in the Find text bar and then press Enter.

Or, if the Immersive view is activated:

  • Select Find text in the upper right corner and proceed as described in the previous step.

Copy a document text to the clipboard

To copy the document text to the clipboard:

Select the ellipsis above the document, then select Copy to clipboard.

Show original spacing

Spacing may vary after a document has been converted.

To display the original version, select the ellipsis above the document, then select Show original text spacing. A check appears beside this menu item.

If Show original text spacing is checked and you want to display the converted document spacing, select Show original text spacing.

Show items in condensed document view

To focus on the selected items (like entities, tokens, extractions and so on) in their sentence and remove the remaining redundant text, select the ellipsis , then Show condensed document. A check appears beside this menu item.

To deselect entities and tokens:

  • Select

Or:

  • Deselect each entity and token singularly.

If Show condensed document is checked and you want to display the whole document text:

  • Select the ellipsis , then select Show condensed document again.

Or, if you have no entity or token in focus:

  • Select Show full document in the central panel.

The immersive view

To switch to the immersive view, select Open Immersive view .

The immersive view does not have many of the accompanying elements as in the main views, in fact it focuses on the document and displays it at a larger size than the detail view.

Switch to the detail view

To switch to the detail view, select Close immersive view .

Change the current document

To change the current document, use Next document next and Previous document .

Check and download the data model

The analysis and indexing of documents with expert.ai NLU technology, which occurs upon loading, generates a JSON file that contains the resulting data model.

  • To display the document data model, select Data model view .
  • To download the data model in JSON format, select .
  • To expand all the JSON keys, select Expand all .
  • To collapse all the JSON keys, select Collapse all .
  • To hide the data model panel and display the default tabs, select Document view .

The Pdf document view

The Pdf document view is available only if you upload PDF files and you switch on Pdf document view in the Settings tab with the upload of PDF documents when creating your project.

It is activated by default when you open a PDF file in detail view.

  • To highlight entities or tokens, or classes for Extraction projects or concepts for Thesaurus projects, select them in the left panel as in the detail view.

  • To disable this view, select the Pdf document view .

  • To enable this view, select the Pdf document view .

  • To zoom-in or zoom-out the document, select .

  • To display the sidebar, helpful if you have documents composed of more than one page or to perform searches, select Toggle sidebar . When there:

    • Select Show thumbnails to show the page list. Select a page to directly jump to it.
    • Select Show search to perform searches. A list of results will appear after entering the search criteria. Select one item to directly jump to the page.
    • Select to hide the sidebar
  • To move through pages:

    • Scroll through the pages.

    Or:

    • Select the page number from the page drop-down menu.

    Or:

    • Select Previous page or Next page beside the page drop-down menu.
  • To show the document with a different presentation mode, select from the presentation drop-down menu:

    • Continuous for a single and continuous page visualization.
    • Presentation for a single-page visualization.
    • Magazine for a two-page visualization.

    Note

    When the Presentation or the Magazine modes are active, you can't scroll through the pages with your mouse.
